How it would work

A purchase order, from PDF to sales order

A manufacturer receives purchase orders from its distributors every day as PDFs, by email, and on WhatsApp. Today someone opens each one, checks prices and inventory, and enters every order into the ERP.

  1. The order comes in

    The system picks it up from whatever channel it arrived on, whether it is an attached PDF, a photo, or a spreadsheet.

  2. It reads every line

    Identifies the customer, products, quantities, prices, and requested delivery date, even when each distributor uses its own format.

  3. It checks against the ERP

    Verifies the current price list, the terms agreed with that customer, and available inventory or production capacity.

  4. It creates the order

    If everything matches, it creates the sales order in the ERP and confirms receipt and the delivery date to the distributor.

  5. It flags the discrepancies

    Mismatched prices, out-of-stock products, or unusual terms go to a person on the sales team, with the order and the discrepancies already highlighted.
